Outlook add-in

Body

Put items from your email inbox directly in your projects. Click to import communications, contacts, and content to your project in Datasite Pipeline.

To use the Datasite Outlook Add-in select an email.
In Outlook on the web click ... from the options in the upper right of the email and select Datasite in the Add-in section at the bottom.
In your Outlook application click ... from the options in your Toolbar and select Datasite. Optionally, add the Datasite Add-in to your toolbar.  Ensure that the Reading Pane in Outlook is set to Right or Bottom. Otherwise, Add-ins will be unavailable. To configure your Reading Pane, select View > Reading Pane.


Installation

Add-in installation instructions are available from Microsoft depending on your platform and version of Outlook. For Outlook on the web look here.



Our Add-in currently works in these versions of Outlook:

  • Outlook on Mac (Microsoft 365)
  • Outlook on Windows (Microsoft 365)
  • Outlook on the web




Logging in

After selecting an email in Outlook select the Datasite Add-in.
You are prompted to log in using the familiar Datasite login process. Click the menu in the upper right and select Logout to log out.
If you log in to Datasite with Multi-Factor Authentication click the pin icon in the Add-in before you open an authentication email. You need to maintain visibility of the dialog window where you put your one time code. Once you authenticate, you'll need to re-select your initial email.



Project selection

After logging in, select a project. If you've selected a project, click the Datasite logo to return to the list of your projects. Alternately, click the menu in the upper right and select Select Project.


Inbox

Forward your email's content to your Pipeline Inbox.
 

 1   Select an email.
 2   Engage the Add-in, log in if necessary, and select a project.
 3   Click Forward to Inbox. 
 4   Optionally, add a message. The message will appear as a threaded response to the forwarded email.
 5   Click Forward to Pipeline Inbox. 




Activity Tracker

Update various parts of your Tracker including Activities, Contacts, Targets, and Reminders.
 

 1   Select an email.
 2   Engage the Add-in, log in if necessary, and select a project.
 3   Click Add to Activity Tracker.
 4   Select a Tracker by clicking in the Tracker field.
 5   Select a Target by clicking in the Target Name field. To create a new one go to the Targets section of this article. 
 6   Select a Contact by clicking in the Contacts field, To create a new one go to the Contacts section of this article.
 7   Select a Stage. If a stage is changed in the Add-in, the Target's stage is updated in the project. 
 8   Select a Status. If a status is changed in the Add-in, the Target's status is updated in the project. 
 9   Select an Activity Date. The current date is selected by default.
 10   Add a note. 
 11   Optionally, add a Reminder. 
 12   Click Add to Activity Tracker.


Contacts

Add Contacts to your project by clicking in the Contacts field and selecting Add new Contact at the top. 
 

 1   Click Add to Activity Tracker.
 2   Select a Tracker by clicking in the Tracker field.
 3   Select a Target by clicking in the Target Name field.
 4   Click in the Contacts field.
 5   Select Add New Contact.
 6   Enter their contact information.
 7   Optionally, click Show More to add more details.
 8   Click Save.

Targets

Add Targets to your project by first selecting a Tracker. Click in the Target Name field and selecting Add New Opportunity at the top. New Targets are added to your tracker. 
 

 1   Select an email.
 2   Engage the Add-in, log in if necessary, and select a project.
 3   Click Add to Activity Tracker.
 4   Select a Tracker.
 5   Click in the Target Name field.
 6   Select Add New Opportunity at the top.
 7   Enter a Target name.
 8   Optionally select a Stage.
 9   Optionally select a Status.
 10   Click Save.

Reminders

Reminder emails can be sent with an Outlook Calendar Event as an attachment to multiple recipients. A .ics file of the Date and Time is included as an attachment to the notification email. Reminders emails are only sent on the successful addition of an email to an Activity Tracker. 
 


 1   Go through the steps in the Activity Tracker section.
 2   Click Add Reminder.
 3   Enter a Subject for the reminder email. A Subject is required.
 4   Enter a Date to be reminded about. Click the calendar icon on the right to select. A Date is required.
 5   Enter a Time to be reminded about. Click the clock icon on the right to select. A Time is required.
 6   Enter Note. This is the body of the email. 
 7   Enter any number of email addresses. Your email is selected by default and you can click the X next to your name to remove yourself. Reminder emails don't allow replying.
 8   Click Save.
