What Is Project Launch?

Launch indicates that the project is open for external review. Once a project is launched, the project moves into an active status and the billing cycle starts for the project (note: billing can also start prior to launching if the project build period has expired prior to launching or as defined by your contract).

Prior to launching a project, admins are prevented from inviting reviewers to the site. However, admins and reviewers with manage access to at least one folder can be invited at any time, including prior to launch. 

Also, prior to launch, the project deal phase on the Projects page is Pre-launch. Once the project is launched, the phase changes to Active.

 

When Should I Launch My Project?

While every situation is unique, there are common steps most projects complete in preparation for project launch. These steps can be self-administrated. However, your Datasite Assist® team is available 24/7/365 to support and advise you.

  1   Index and content population - Once your project has been created, the first step is uploading your content - see Upload Files. Datasite creates an Index structure for you as you add content. At any time, this structure can be updated as desired, and content re-arranged as preferred. You can also quickly and automatically build a fileroom from an existing tracker, with each folder linked to the corresponding tracker entry - see Trackers > Index sync. 

  2   Before inviting users to your project to view content:

 1   Create Roles (Adding a New Role or Duplicating a Role) - Roles must be created prior to inviting users. Roles are assigned to users during the invitation process (step 6 below), and determine the level of access users will have once permissions are assigned to the Role(s).

 2   Apply Permission Settings (Setting Permissions on Roles) - Permissions determine the level of project access users in any given Role are allowed. Setting permissions is cumulative, meaning if one attribute is allowed, the levels lower than that one are too.

 3   Publishing - Publishing removes the final barrier to content for reviewers. Publishing provides access reviewers, as defined by their role permission settings. Note that publishing and unpublishing is flexible and available at the document level. Publish everything if you wish, or display only a select set of folders and documents, as desired. 

 4   Recycle Bin - All files hosted in an active project are billed, including files in the Recycle Bin. If you don't intend to restore files from the Recycle Bin at some point, it may be prudent to delete them prior to launching.

 5   Launch - When you're ready to invite reviewers to view your content, it's time to launch. See above for steps.

 6   Invite Reviewers - Once you're launched, invite reviewers to view your content (Inviting a User).

 

To launch a project:

 1   Log in to the project.

 2   Access the Settings tab.

 3   Click Launch Project.

 4   If there are unpublished items either 'leave items unpublished' or 'publish [number of] items in index' and click Next.

 5   If there are draft invitations choose whether you'd like to send any invitations in draft status now or later.

 6   Click Launch Project.

Prior to launch, project phase is 'Pre-launch'. Once launched, the phase switches to 'Active'.
 

Who Can Launch a Project?

Admins have the ability to launch projects from within the Datasite project platform. Reviewers with manage access cannot launch a project.

Note: Publishing and Setting Permissions on Roles do not affect launch status. These areas can be configured whenever desired, including prior to launch.
