Uploaded files are processed and added to your index, but are initially posted in an 'Unpublished' Status. You have the option to keep files unpublished until you're done organizing your fileroom and setting permissions. Unpublished files are only visible to project admins and reviewers with manage access. Files can be published later from within the Documents tab.

Acquire projects can be set to auto-publish uploaded content.

Note that in addition to publishing, user role permissions must also be established (see Permissions) before content is visible to reviewers (non-admin users). Additionally, publishing some of the files within an unpublished folder will update the folder to partially published status while publishing all of the files will fully publish the folder.

Content can be published from two locations:

• Within the Documents tab
• Within the Permissions tab

To Publish or Unpublish a file, or the contents of a folder from within the Documents tab:

  1   In the left navigation pane, click the fileroom or folder in the Index containing the items you'd like to work with.

  2   In the main content panel, select the relevant files or folders via a checkbox.

  3   Select Modify, then Publish or Unpublish.

  4   Confirm your choice.

Select multiple checkboxes to publish or unpublish multiple files at once.

To select all items within a fileroom or folder, select the checkbox at the top of the checkbox column.

Note: items in the Sandbox can't be published. To publish them, move them to the Index.

 

To Publish or Unpublish files from within the Permissions tab:

 1   Within the Content Access tab, select Edit > Live (you can also choose Draft but published items do not appear in your index for reviewers unless a minimum of 'View' permissions have been applied).

 2   If you want to publish/unpublish all content, select Publish in the top menu, and select Publish All/Unpublish All.

 3   If you want to publish/unpublish a Fileroom, folder, or file, left-click the Published/Unpublished icon under the Status column and select Publish/Unpublish.
