Start by selecting a file or multiple files (up to 10) from your index in the Documents tab. Then click the redact icon in the Modify menu. From here, you can easily mark words, phrases, or images for redaction within each file. If you would like to redact text, click the 'Text' button near the top and highlight the items that you would like to have redacted within that document. By selecting text, all occurrences of that text will be marked for redaction across the document. You can also search for terms using the magnifying glass icon on the right. This allows you to redact some or all instances of a certain term present in the document. You can also redact images or logos by selecting the 'Area' button near the top and clicking and dragging diagonally across the area you want to mark. Once the box is created, you can move it around or resize it to position it correctly. You can also click 'Repeat Area Selection' on the right to have the redact box added to multiple pages. Toggle the preview switch to see how the redacted document will appear in the index. Click Redact Marks to review and confirm your redaction selection. Your document will now display a redaction icon in the index that is only visible to users with redaction permissions. Automated Redaction For large amounts of content, you can spend hours redacting and then un-redacting each document by hand. Do both quickly across multiple files and filerooms using our automated redacting tools. Datasite’s intuitive design ensures you are productive in minutes. There are two main ways to redact automatically. 1 Bulk Mark with Key Terms From within the Redaction tab, click Bulk Mark with Key Terms. Select a fileroom from the menu, choose a redaction category, and enter in a term you’d like to redact. Click Add and Datasite’s artificial intelligence (AI) will scan all of the documents in that fileroom to locate data that fits within the parameters of your term search. Once all items are marked, click Redact/Unredact Marked Terms to confirm the redaction. 2 Bulk Mark with AI From within the Redaction tab, click Bulk Mark with AI. Choose the Categories that you’d like to assign to each information type by clicking Set Default Category For Info Types. Select Confirm Default Categories when done. Then click Select Folders to Scan and select a fileroom or folder where you want the AI to identify and suggest items for redaction. Click Start Scanning. You can review the redaction opportunities that the AI discovered by clicking “New AI Suggestions”. Select the information types you’d like to mark, then click “Mark Suggestions.” This will draft your redactions. Click All Redaction Files to go to the full list. You can review and select as many as you’d like by filtering and sorting. Once all items are reviewed, click Redact/Unredact Marked Terms to confirm. A solid circle in the Categories column is a confirmed redaction, an open circle is a draft redaction. Using file selection and filters, Datasite lets you confirm redacted files to go live with reviewer content. The system backs you up by keeping a copy of the original files. Unredact in Seconds When deals progress and exclusive candidates emerge, Datasite facilitates removing redactions in seconds. A redaction dashboard helps your keep redaction on track. Unredact/Re-redact All When complete disclosure is allowed, you can unredact all redacted files completely. Within the Redaction tab, Filter for redacted documents, select all files, and in the right panel click Replace with Original to revert back to the original unredacted file.
