It is recommended to review the Redaction article in conjunction with the information below in order to gain a full understanding of redaction features, document statuses, etc.

Datasite employs a unique Bulk Mark with Key Terms redaction feature, allowing increased speed and efficiency when redacting files. Project admins can enter a variety of key terms that are then automatically found and redacted among files existing within a particular fileroom, or upon uploading new files.

Some system parameters to be aware of include:

• Key terms are entered on a per fileroom (not per project) basis
• There is a 100-term limit per fileroom
• Added terms/phrases should be between 3 and 255 characters
• If the key term is part of a larger term, the entire term is redacted
• Automatically redacted files must still be confirmed by a project admin before posting to the index; review of automatically redacted files is strongly encouraged prior to confirmation

To use the Bulk Mark with Key Terms redaction feature:

  1   Within the Redaction tab, in the left navigation pane select Bulk Mark with Key Terms.

  2   Expand the desired fileroom by clicking the associated tab.

  3   Using the drop-down menu, choose from available categories for the term you will enter in the next step. Category selections can be changed for each new term or set of terms.

  4   Enter a key term; click Add.

Automatically marked files show in the Redaction grid; the 'Updated By' column displays 'SYSTEM'. System updated files must then be selected via checkbox and confirmed by an admin. In the grid, click the file name to open the document in the redaction viewer in order to review the file prior to confirming.

When key terms have been saved, they appear in each fileroom card and can be changed or updated at any time. To do so, expand the fileroom card and follow the instructions above. Remove redaction terms by selecting the term via checkbox and clicking Remove And Unmark.

Click the funnel icon associated with a key term in a fileroom card to display files marked with the selected term in the Redaction grid.

Note: Bulk marked redactions are restricted to:

• Projects with less than 750,000 total pages
• Single files with less that 10,000 redaction suggestions within the document
