Project admins can use the Mobile App to view and upload project files and perform some user and invitation management.

To access files as an admin, once logged into the app (see Datasite Mobile App - Getting Started), select your desired project. You are brought to your Documents tab by default. Document viewing functionality is the same for project admins as reviewers; for instructions on file navigation and viewing, see Datasite Mobile App - Reviewers.

Projects you can access via the app display on your Home page upon login. Note that only projects that have been enabled for mobile appear. By default, projects have the mobile app enabled. To deactivate or re-activate the mobile app, see Mobile Settings.

Tap the menu icon located at the upper right on your Home page to access your profile, Settings, Help, or to Log Out.

Select the desired project.

To manage users within the app, first tap the Users tab at the bottom of your screen. The Users tab opens displaying a list of reviewers on the project. Each user entry displays:

• Email address
• Company
• Role
• Status - Active, Inactive, Invited, Draft

Browse users or use filters to display a particular user subset.
 

Filters

Tap the Filters link near the top of your screen to apply filters. There are three filtering categories:

• Alphabetically by first or last name
• Filter by status
• Filter by role

Any combination of filters can be applied. For example, choose all active users in roles A, B, and C, sorted alphabetically by last name, etc. Tap Clear Filters to remove filters.
 

User Options

Swipe left on a user entry to reveal options. Available options are determined by user status, and include:

• Active
  • Deactivate - Deactivates user from the project
• Deactivated
  • Activate - Re-activates the user. Note that re-activation in this manner does not inform the user of their renewed status
  • Reactivate - Reactivates user on the project (the user is not notified)
• Invited
  • Resend - Automatically resends an invitation to the user
  • Withdraw - Automatically withdraws the user invitation
• Draft
  • Invite - Send the drafted invitation
  • Remove - Delete the drafted invitation

Edit user
User information can be found by tapping the user entry in the Users list. This opens the Edit User information card. Information displayed on this screen includes:

• Name
• Email
• Status
• Company
• User Classification
• Role
• Project Language
• Q&A Team 
• Teams(s)
  • Note: Q&A and Analytics teams are optional user assignments within your project; if unused these field will not contain user information

To change a user role within this area:

1. Tap the Role field.
2. Select the desired role from the scroll options presented.
3. Tap Save.

Invite a User

To invite a user from within the desired project, tap the Users icon in the lower right of your interface. Then:
  1   Tap the plus (+) sign located to the upper right.

  2   Enter the user's email address.

  3   Choose a user classification if desired.

  4   Choose an existing role (roles cannot be created within the app; if a new role is needed, log in the Datasite web application and create the role). See Adding a New Role or Duplicating a Role to find out more about creating roles.

  5   Choose a language (this affects the invitation only, not the app interface).

  6   If desired, assign the user to a Q&A team (see Q&A Setup to create Q&A teams).

  7   Optionally, choose to assign the invitee to a team.

  8   Click Send Invite to send out the invitation immediately. If you would like to save the invitation to send later, click Save as Draft.

Upload a file

Files accessible on your device can be uploaded via the mobile app. To do so, from within a fileroom:
 

 1  From within the desired folder location, tap the plus (+) 'New' icon in the bottom corner. Depending upon your device, some combination of the following options appear:

• Scan Document
• Take Photo
• Upload Photo or Video
• Browse Files

 2  Choose your option a select a file.

 3  Choose 'Publish now' (immediately available to reviewers if their role is given access) or 'Publish later'. 

 4  Manage permissions. If set to hidden, the file is not viewable until permissions are updated. If set to inherit destination settings, access is granted via role per the levels displayed. Tap Next.

 5  Tap Finish Upload.

An upload progress bar appears. Keep the app open, and do not allow your phone to enter 'sleep' mode until the upload is complete.

Share a Folder or File

Links to folders and files can be sent to users via email from within the mobile app. To do so, log in to the app, then:

  1   Navigate to the folder or file you'd like to share.

  2   Swipe left to display options.

  3   Tap Share.

  4   Choose from the sharing methods available on your device (email, text, etc.)

Recipients are sent a notification with links to items you've shared. They are required to log into the the web platform to view shared items, and must be active members of the project with permissions to see the shared material. Shared links are 'deep' links, and recipients are brought immediately to shared content upon login.
 

Move a folder or file

To move folder or files from a staging area to a fileroom, or to a new location within a fileroom, tap the options menu (3 dots) associated with the file, then tap Move File. Select the desired location and permissions settings. 
 

Edit Permissions

You can edit permissions on the mobile app on a file-by-file basis (one file at a time), or at the folder or fileroom level. Remember that permissions cascade downward, meaning if permissions are changed at the fileroom level for example, those changes are applied to everything contained within the fileroom. Draft permissions can only be applied via the web application, and draft permissions existing on an item exclude that item from permissions alteration using the mobile app.

To edit permissions on a single fileroom, folder, or file using the mobile app:

  1   Navigate to the item for which you'd like to edit permissions.

  2   Tap the options menu associated with the file (3 dots).

  3   Tap Manage Permissions. Roles display.

  4   Tap the carat associated with the desired role to view assigned permissions.

  5   Tap the icon associated with the desired permission level (hidden, view, print, download).

  6   When permissions for all applicable roles have been edited, tap Done.

Permissions for the item are now updated for reviewers on both the mobile app and web applications.
 

Publish/Unpublish

To publish/unpublish filerooms, folders, or individual files tap the options menu (3 dots) associated with the file, then tap Publish or Unpublish.
