An Archive project with a Q&A tab is only made when:

• The Recipient is a Project Admin
• The Datasite Archive Type is By Role
• The Role is Project Admin

 

The entire Q&A for the Answer and all Question Teams is then visible to any user in the Archive. 

 

Any Archive projects with Q&A made By Role, and not Project Admin, have an Archive Reports fileroom with a spreadsheet report of questions and answers for the Recipient's (Member of the) Question Team. 

 

 

 

Understanding archive types and Q&A forum inclusion

Project Admins can create a snapshot of their Diligence projects either from a Project Admin perspective or a role-specific perspective. There are important differences when Q&A is used in the Diligence project, with multiple parties invited as different Question Teams.

 

Full Archive with Q&A forum tab - All questions and answers, without a Q&A export in Excel

To include the entire Q&A forum as Q&A tab for all Question Teams select Project Admin as the recipient or choose Project Admin as the role during Archive creation. Follow the steps in How do I create an Online Archive?

Important:
A Full Archive is not suitable for sharing with counterparties.
It includes all questions and answers across all Question Teams. After creation, this type of Archive includes a Q&A forum tab like your Diligence project and all Q&A content becomes visible to any user invited to the Archive.

 

Role-specific Archive with Q&A forum report for a specific Question Team

Any Archive created by a recipient member of a Question Team can include an Archive reports fileroom with a spreadsheet report of questions and answers only for the Question Team of the recipient.

 

1. Go to the Archives tab.
2. Click Request Archive.
3. Click Set up Archive.
4. Select a Recipient for your archive. To include a Q&A forum report for a specific Question Team the recipient must:
   • Be a user in the role chosen for the Archive
   • Belong to a Question Team, to enable the option Q&A (Team-specific Excel export)
5. Keep the checkbox ‘Invite me (your name) to this Datasite Archive’ selected if you wish to be invited to the role-specific Archive.
   • Recipients can invite others to access the Archive after it is created.
6. Datasite Archive Type is automatically set to By Role.
7. In the Role field, you will see the name of the selected role.
8. In the Name field, enter the project name for your Archive.
9. Confirm the checkbox Q&A (Team-specific Excel export) is ticked to include the Q&A forum report for the specific Question Team.
10. Click Next.
11. Tick the checkbox for ‘I accept - I have read, understand and agree to the conditions.’
12. Click Create Archive. The Archive Project is created, and the invitees receive an invitation email.
