InformationBodyThe Shortcuts panel is on the top of the left navigation pane in the Documents tab. It is expanded by default. A blue dot next to the New icon indicates the new files area is populated. See the list of new files: 1 Click on the New link in the Shortcuts panel. 2 A list of the new files displays in the middle content panel. Choose a date range using the Date Available calendar filter If desired, use the Read/Unread filter to show only documents that you have or haven't already reviewedChoose a Location where the files you wish to view reside 3 To create a sorted list of documents, filter the list by entering information in the blank fields above the list. (i.e. enter 'm' in the field below the File Name column name to filter on all files that contain 'm'). You can also use the wildcard '*' character to filter by data that ends with a certain series of characters (*.com) or that begin with a series of characters (Jim*) or contain a series of characters (*Smith*). Or, select specific filters and display only desired columns by selecting the 'Manage Columns' icon .If you have more than 200 new documents your results are paginated. In the lower right see Page X of X and click the arrows to change the selection by 200. Sorting and filtering only works on that page selection of 200. To sort and filter the entire large list click Export and use the spreadsheet's columns. Inbox The Inbox allows Project Admins and users in roles with Manage permissions to email files to the project for review and placement within the index. For full details, reference Inbox. Favorites The Favorites area gives you access to a list of documents that you have marked as favorites on your project. Favorites are personalized; items you mark as favorites are unique to you and don't show as favorites for other users. A blue dot next to the favorites icon indicates unread favorited items. To create a favorite: 1 Click the 'star' icon associated with the folder or file you'd like to add to your favorites list. The star turns yellow. 2 Choose a category or create a new category. Categories are personalized to you; use them to create groupings of your choice. 3 Click Mark Favorite. 4 To remove an item from your favorites list, click the yellow star associated with the item. The star turns blank and the item is removed from your list. To see the list of favorites: 1 Click on the Favorites link in the Shortcuts panel. 2 A list of the favorites displays in the middle content panel. 3 Choose a Location where the files you wish to view reside. 4 To create a sorted list of documents, filter the list by entering information in the blank fields above the list. Processing Uploaded files are 'processed' so they can be made searchable and render properly when viewed. Large or complex files can take longer to process than others. A blue dot beside the 'Processing' link indicates files still processing and not yet available to reviewers. Click the link for a list of processing files. This shortcut is only visible to Project Admins and users in roles with Manage permissions. To check the status of processing files:If a file or files require extended processing time a blue dot beside the Processing area in Shortcuts indicates the status of your file can be viewed. Click Processing to view status. These consist of: Queued - Awaiting processingProcessing - Your file is processing normallyComplex File - Your file is processing, but may require additional time due to complexities within the file Action Required The Action Required area gives Project Admins access to a list of documents that have failed the upload process. A blue dot next to the Action Required icon indicates this area contains files needing attention. To see the list of files in Action Required status: 1 Click on the Action Required link in the Shortcuts panel. 2 A list of the files that have failed will display in the middle content panel. 3 To create a sorted list of documents, filter the list by entering information in the blank fields above the list. (i.e. enter 'm' in the field below the File Name column name to filter on all files that contain 'm'). You can also use the wildcard '*' character to filter by data that ends with a certain series of characters (*.com) or that begin with a series of characters (Jim*) or contain a series of characters (*Smith*). Or, select specific filters and display only desired columns by selecting the 'Manage Columns' icon .Documents can be permanently deleted from the project by selecting the associated check box(es) and clicking Delete. Refer to the 'Uploaded By' column if follow-up with the admin who originally attempted to upload a file is needed.If a file is password-protected it cannot be processed and will enter Action Required. However, the password can be entered within the content grid in the index; click the red 'Processing Failed' link in the 'Status' column, enter the correct password and Submit. Downloads Large download selections of over 100 documents or 4GB total size invoke the Bulk Download feature. Downloads of this magnitude can take time to process. The Bulk Download feature allows users to continue working within the project while the download selection is compiled.Selected items are packaged in a zip file, and when ready for download, can be accessed for 30 days via the Documents tab > Shortcuts > Downloads. Users awaiting bulk downloads are notified by email when their download is ready. A blue dot beside the 'Downloads' link indicates content in this area.The Bulk Downloads area is unique to each user, containing only downloads selected and prepared by the user. If your download selection contains long file paths that could present issues (in Windows OS) when extracting the contents, you'll be prompted to choose a method of shortening the file paths (see Downloading - Windows File Path Limitations). You'll be given the option to name your download if desired. Folder and file structure is maintained in the downloaded content. Recycle Bin The Recycle Bin area gives Project Admins access to a list of documents that have been moved to the recycle bin on your project. A blue dot next to the recycle bin icon indicates this area contains files. To see the list of files in the recycle bin: 1 Click on the Recycle Bin link in the Shortcuts panel. 2 A list of the files in the bin displays in the middle content panel. To create a sorted list of documents, filter the list by entering information in the blank fields above the list. Then choose your desired location and permission settings and select Restore again.
