Multi-file linking is available to Q&A Question and Answer teams. Files posted within the project Index are available for linking to a question or answer.

To link multiple files to a question or answer:

  1   From within the Ask Question or Answer Question pane, select Link Existing Files.

  2   Expand filerooms and folders to navigate to files. Via checkbox, select as many items as desired. Filerooms, folders, or individual files are all available to link within a question or response.

  3   When finished, click Done.

The files are now linked to the question or answer. Selected links can be deleted by clicking the red 'x' icon associated with the linked file. Note: A warning appears if you attempt to link to an unpublished file. In this case, be sure to publish the file so it is viewable by question team members.

Links are saved to the question or answer upon clicking Save or Submit To. Questions or answers saved as drafts can continue to be modifed as needed prior to submission. If new files are linked after saving, they appear in the 'New Selected Files' area, while originally selected files appear in 'Previously Selected Files.' Previously Selected Files can be removed by clicking the associated red 'X' icon.

Note:
Admins should be mindful of permissions when linking content to answers; only items accessible by the question reviewer will be seen by that reviewer, regardless of whether additional (non-permissioned) content has been linked to the answer.

Viewing Linked Items

Some types of linked files (see Download Only Files) are not viewable in the Datasite document viewer and can only be accessed via the index in the Documents tab.

Therefore, the links associated with question- or answer-linked files provide two different viewing options, depending on whether the first or second half of the link is clicked.

The following hover text appears to clarify which option is used upon selecting the indicated portion of the link:

• Open index location of file - Opens a separate Documents tab where the file resides
• View file - Opens the file for viewing in the Datasite document viewer, unless the linked file is of a type that can only be downloaded. If so, choosing this option also automatically opens the file location within the project index
