This information discusses navigating the content stored on your Datasite media device. For instructions on accessing the encrypted content stored on your device, see the Datasite media user guide and reference the link associated with your specific device.

Navigation

Due to Windows’ character limitation, the project is stored in a ZIP file that can be navigated without needing to extract. We recommend using a third-party ZIP management tool, such as 7Zip or WinZip.

In some instances file paths exceed the Windows character limit, preventing files being contained in the Datasite index structure within the ZIP. Impacted files will be titled with full index numbers and be located in a folder named "additional files".

The content zip file holds the entire structure of your Datasite. To navigate the zip file:
 

  1   Right-click on the ZIP file.

  2   From the popup list select 7zip > Open archive.

  3   The zip opens in 7zip software, displaying the folder structure; you can now navigate the folders and open any files you wish to view.

 

Unzipping Content

You can also unzip the content to your desired location by selecting Extract files...(instead of Open archive). You can then select a location to save unzipped content locally.

Alternatively, drag and drop directly from the opened zip, individual files/folders, or the entire structure.
 

Write Protection

All devices provided by Datasite are write-protected by default, meaning content cannot be amended directly on the device. In order to modify the content of the zip, follow the previous steps to extract content to an alternative location.

Datasite media orders offer several content options, including:

• Full archive, all reports

• By role

• Q&A report

• Full archive, no reports

Extractions can't be manually modified, so if you want to request specific content, such as specific folders and documents, create a role and set permissions for the desired content and then submit your media request. 
 

Full archive, all reports

This includes the entire content of the project and a complement of archive reports for the lifespan of the project.

This media choice includes:

• 1 x ZIP file of all content
  • Example zip name, [Project name]_Archive-Content.zip
  • Includes the entire content of the project regardless of permissions or publish status
• 1 x ZIP file of sandbox (if activated on your project)
  • Example zip name, [Project name]_Archive-Sandbox.zip
  • Includes everything in the sandbox
• 1 x ZIP file of audit reports, detailing lifetime of project.
  • Example zip name, [Project name]__Archive-Reports.zip
  • The reports included in the zip file are:
    • Access Event
    • Index List
    • Permissions
    • Q&A Report - if configured for the project: The Q&A report will be included by default only if the requestor is part of the Answer Team. Otherwise, it should be requested and indicated in the notes and instructions when ordering.
    • Invited Users
    • Registered User
    • Trackers Report - Only included by default on Acquire projects. In Diligence projects request this report in the notes and instructions field when ordering.

By role

Typically includes only published content visible to a particular role and the index of that role. Please note the index does not include load dates for documents. 

This media choice includes:

• 1 x ZIP file of all content visible for the role and that is published.
  • Example zip name, [Project name]_[Role name]-Content.zip.
• 1 x ZIP file of the index report for the role.
  • Example, [Project name]_[Role name]-Index-List.zip

Q&A Report

The Q&A report is not included with default media order selections, and should be indicated in the notes/instructions field when ordering, including desired teams.

This media choice includes:

• Team-specific Q&A report (only if Q&A is active on the project). An excel file for the Q&A report containing all questions and answers for the selected team. Please denote if a Q&A report is required with your media order and specify the team name.

Full archive, no reports

Content of the entire project, including the sandbox (if active) and an index report of the entire project including document load dates.

This media choice includes:

• 1 x ZIP file of all content
  • Example zip name, [Project name]_Archive-Content.zip
  • Includes the entire content of the project regardless of permissions or publish status
• 1 x ZIP file of sandbox (if activated on your project)
  • Example zip name, [Project name]_Archive-Sandbox.zip
  • Includes everything in the sandbox
• 1 x Excel index file for the entire project
  • Example, [Project name]-Index List-YYYY-MM-DD.zip
